Human Rights Policy

Overview

Troy Foods (Salads) Limited is committed to respecting everyone’s human rights in all aspects of our operations. Whilst we primarily work in the UK, we believe that we have a responsibility to ensure that human rights are understood and observed in the areas that we work, including those of suppliers who are based outside our main country of operation.

We support the principles set out in the following international standards:
  • UN Declaration of Human Rights
  • UN Guiding Principles on Business and Human Rights
  • The International Labour Organization’s Fundamental Conventions
  • The Human Rights Act 1998
  • The Modern Slavery Act 2015
  • The Ethical Trading Initiative Base Code (Sedex – SMETA)
Scope

This policy applies to all personnel of Troy Foods (Salads) Limited, including all directors, officers, employees (whether employed on a temporary, fixed term, permanent or part-time basis), workers and contractors. It is expected that suppliers comply with the law as a minimum and should do their utmost to comply with the principles of this policy.

Responsible Officers

Amanada Harrison, Head of Human Resources is responsible for the monitoring, review and communication of this policy across departments.

Andrew Murphy, Compliance Director is the senior board member with the overall responsibility for  multi-site compliance to this policy and the demonstrable senior management commitment to the ETI Base Code and SEDEX principles at Troy Foods (Salads) Limited.

Enforcement

This policy is intended to protect Troy Foods (Salads) Limited, customers, personnel, and business partners; please read it carefully. Given its importance, any breach of this policy may result in an investigation under Troy Foods (Salads) Limited’s Discipline and Grievance policy and may result in disciplinary or other enforcement action being taken against you. Employees should consult the disciplinary policy which is in your employee handbook and posted on the notice board in the cafeteria for more information.

Policy

We strive to respect and promote human rights in accordance with the UN Guiding Principles on Business and Human Rights. Our aim is to help increase the enjoyment of human rights within Troy Foods Salads) Limited, our suppliers and contractors. At Troy Foods (Salads) Limited, it is every employee’s responsibility to maintain a work environment that reflects respect for human rights and is free from all discrimination and harassment.

If any employee believes that someone, either at Troy Foods (Salads) Limited, or one of our suppliers or a contractor is violating this Human Rights Policy and/or the law, they are asked to report it immediately to their manager, Technical, Accounts, HS&E, or through the Whistle-blower process.

We expect our suppliers and contractors to also have in place processes to enable their own staff to report any concerns. It is the responsibility of the Troy Foods (Salads) Limited hosting manager for the supplier or contractor to ensure that they have access to this policy and that visitor or contractor will meet the requirements and expected behaviours laid out in this policy.

Where a dedicated Troy Foods (Salads) Limited hosting manager is not allocated to the supplier or contractor, this responsibility falls to the Troy Foods (Salads) Manager who has employed their services.

As a business, we have identified the following main areas of responsibility:

 

Equality and Diversity: Our commitment is to provide a safe and inclusive working environment where all people are treated fairly and with respect.

We have an ethical trading policy which sets out our commitment and the responsibilities of management and staff.  We require our suppliers and contractors to comply with any local legislation which applies to equality and diversity as well as adhering to our behaviours and values, supporting us in the delivery of our commitment.

Freedom of Association and Collective Bargaining: We respect the right of our employees to join or not to join a trade union and as such they are free to join an organisation of their choice to represent them in line with local legislation.

We require our suppliers and contractors to respect their employees’ right to freedom of association. (ETI Base Code and membership of Sedex No ZS 1073323 )

Labour rights: We provide fair working conditions for our employees including terms and conditions of employment, remuneration, working hours, resting time, holiday entitlements, parental leave, and benefits; we comply with all applicable legislation. We have specific policies which set out our commitment and the responsibilities of management and staff. We require our suppliers and contractors to comply with all applicable local legislation as well as adhering to our behaviours and values, supporting us in the delivery of our commitment.

Wages: Troy Foods (Salads) Limited is committed to ensuring that their direct employees are not paid lower than that required by law. We require our suppliers to comply with all applicable legislation or, if there is no applicable local law in the country in which they operate, ensure that their pay will not be less than the level paid generally within that industry.

Forced Labour (Slavery): Troy Foods (Salads) Limited has a policy of zero-tolerance towards acts of modern slavery which are unlawful and are a violation of fundamental human rights. Our Ethical Trading Policy sets out our commitment and the responsibilities of management and staff.

We require our suppliers and contractors to comply with all applicable local legislation as well as adhering to our behaviours and values, supporting us in the delivery of our commitment.

Troy Foods (Salads) Limited will continuously monitor its supply chain to ensure compliance to the ETI Base Code and SEDEX principles. We require our suppliers to be in compliance. However, if an organisation is found to be employing persons contra to the above principles with regards to Modern Slavery.

Troy Food Salads Limited commits to undertake a process of remediation with the organisation with an aim to protect, shield and protect the rights and continued quality of life of workers.

Safe and Healthy Workplace: Troy Foods (Salads) Limited are committed to delivering high standards of health and safety management and aim to continually improve our performance, always seeking to reduce risk. We believe in always doing the right thing and in doing it safely, without unnecessary risk to people’s health and will comply with all relevant legislation. We have a specific policy with a designated Manager which sets out our commitment and the responsibilities of management and staff.

If you see or experience something which you feel is dangerous or unsafe, please report it to your Supervisor, the Health and Safety Manager Ian Arundle, any member of the Senior Management team or use the Confidential Reporting Line 07584146 762.

We require our suppliers and contractors to comply with all applicable legislation as well as adhering to our behaviours and values, supporting us in the delivery of our commitment.

Child Labour: Troy Foods (Salads) Limited primarily operates in the UK and complies with all relevant legislation regarding this; we will not employ young persons under the age of 18 in a hazardous role or at night. We do not tolerate the use of child labour and require that our suppliers do not use children in their operations.

Troy Foods Salads Limited will continuously monitor its supply chain to ensure compliance to the ETI Base Code and SEDEX principles. We require our suppliers to be in compliance. However, if an organisation is found to be employing child labour contra to the above principles Troy Food Salads Limited commits to undertake a process of remediation with the organisation with an aim to protect, shield and protect the rights and continued quality of life of the child workers.

Vulnerable Customers: We are committed to acting professionally, fairly and with integrity in all our business dealings and relationships.

We require our suppliers to have suitable procedures and management systems in place to protect such customers, adhering to our behaviours and values and supporting us in the delivery of our commitment.

Sustainability

Troy Foods Salads Limited recognises that all organisations must commit to a sustainable business model. We recognise that this will include the following areas –

  • Supplier Approval and projecting best practise principles to all our supply partners.
  • Monitoring, continuous review and a commitment to the efficient use of our energy resources
  • Monitoring, continuous review of the environmental, societal, and ethical impact of our supply partners on their area of influence
  • Monitor Troy Food (Salads) Limited’s own impact on the environmental and the societal experience either in direct or indirect for our own footprint.

Training and awareness

All staff receive a contract and employee handbook as part of their induction which sets out Troy Foods (Salads) Limited’s Ethical Trading Policy relating to Equality and Diversity, Anti-Bribery and treating all employees, contractors, and customers fairly.

Control

This policy will be monitored through regular internal auditing as well as any third-party audits as are required and/or workplace inspections as appropriate.

Supplier on-boarding assessments (Supplier Questionnaire and or On-site auditing) will ensure human rights are adequately respected and their ongoing audit and/or review (as appropriate) will ensure continued compliance with this policy.

The effectiveness of this policy will be measured through supplier data as well as any relevant reports made to Troy Foods (Salads) Limited via the Whistle-Blower process. This will be trended and reported internally during the monthly and quarterly Management Meeting.

Review

This policy does not form part of any employee’s contract of employment and may be amended at any time.

Troy Foods (Salads) Limited will review this policy on a scheduled basis and may, at any time, withdraw this policy or publish replacement or revised versions of this policy to reflect developments in the business, or changes to legislation or procedures.

Printed copies of this document are uncontrolled copies of a controlled document. The current version of the policy can be accessed via the Technical, Accounts or H&S managers.

The Health and Safety and Accounts/Office Manager are responsible for reviewing and maintaining this policy, and ensuring it remains current. All operations and departments within the Company are responsible for implementing the policy.

Definitions

Supplier – This term refers to any business or company employed by Troy Foods (Salads) Limited to deliver a service, carry out work within Troy Foods (Salads) Limited undertaking, and provide products/goods/ materials to Troy Foods (Salads) Limited.

Legislation – Acts, Regulations and Orders for the jurisdiction/country in which Troy Foods (Salads) Limited or supplier is operating from.

Customer – This term refers to anyone who has a transactional relationship with Troy Foods (Salads) Limited.
